Spaces 3 Portfolio Mode Setup Guide

Portfolio Mode allows users to explore availability across every property in a market within a single streamlined experience.

Portfolio Mode introduces three new concepts:

  1. Markets: Any grouping of properties (i.e. state, city, neighborhood, property type, etc.) Each Portfolio page can only represent one market.
  2. Complete Asset Locations: Portfolio Mode requires each property's address, (selected from Google), for it to display on the Portfolio Mode map. Also requires the property’s phone number, featured image, homepage and availability page URLs, and associated Spaces Market.
  3. Portfolio Pages: One WordPress page per market, each with the portfolio shortcode showing that market's properties.

Before You Start

Ensure You Have:

  • A Spaces plugin version that supports Portfolio Mode.
  • A published Spaces Asset per property, each with a connected P&A process and SightMap data imported.
  • Single-property pages working with spaces_v3 asset_id="ID"
    • You can find each property’s Asset ID within the CMS on the Spaces → Assets tab if needed.
  • A Google Maps API key for your organization.

Gather the Following Context for Each Property:

  1. The property website’s Home page URL.
  2. The property website’s Availability page URL.
  3. The property’s phone number.
  4. A featured image of property (ideally an exterior photo or featured interior photo).
  5. The market(s) the property will be associated with.

Implementing Portfolio Mode

  1. Add Your Google Maps API Key.
    1. Navigate to 'Spaces → Global Settings', scroll to SPACES Portfolio Support, and open the Map tab.
    2. Enter your Google Maps API key in the ‘SPACES Google Maps API Key’ field.
  2. Create Your Market(s).
    1. Portfolio mode requires at least one market.
    2. Within the CMS, navigate to the 'SPACES → SPACES Markets' page.
    3. Enter a Name and Slug for the Market, then click the ‘Add New SPACES Market’ button.
      1. Name it for the group of properties it covers, such as a state, city or neighborhood.
      2. The Slug is typically the same as the name, just set all lowercase and split by hyphens (“Denver Metro” becomes “denver-metro”).
  3. Assign Market(s) to Corresponding Assets.
    1. Navigate to the 'SPACES → Assets' page.
    2. Click the ‘Edit’ button for the Asset you’d like to assign to a market.
    3. On the right-side of the window, find the ‘SPACES Market’ panel and assign one or many markets.
    4. Click the ‘Update’ button at the top panel to confirm the assignment.
    5. You can bulk assign Markets to Assets if desired, using the following process:
      1. Navigate to the 'SPACES → Assets' page.
      2. Select the desired Assets using the checkbox near each Asset name.
      3. Select ‘Bulk Edit’ from the ‘Bulk Actions’ dropdown, then click the ‘Apply’ button.
      4. Populated the desired Markets(s) within the SPACES Market field, separated by commas.
      5. Click the ‘Update’ button within the Bulk Edit panel to apply the changes.

The SPACES Market box is free text. Type the market name exactly as it is defined. A typo silently creates a new market.

  4. Fill in the 'Portfolio Mode' Content for Each Asset.
    1. Navigate to the 'SPACES → Assets' page and select your asset.
    2. Click the 'Portfolio Mode' tab.
    3. Populate the 'Main Website CTA' field with the Property Website's Homepage URL.
    4. Populate the 'Spaces Page URL' field with the Property Website's Availability page URL.
    5. Ensure both URLs end with a '/'
  5. Fill in the 'Location' Content on Each Asset.
    1. Navigate to the 'SPACES → Assets' page and select your asset.
    2. Click the 'Location' tab.
    3. Populate the 'Phone Number' field with the property's desired phone number.
    4. Populate the 'Map Location' field by searching for the property name or address and selecting the correct location within the search results dropdown.

You must select a valid location from the dropdown list. Simply pasting or entering a location will not save a valid location.

  6. Set the Featured Image for Each Asset.
    1. Navigate to the 'SPACES → Assets' page and select your asset.
    2. On the right side of the page, find the 'Featured Image' panel and click the 'Set Featured Image' button.
    3. Upload or select the featured image for the asset.
      1. Featured images are displayed using a 16:9 aspect ratio. Any size image can be uploaded, but it will be cropped to a 16:9 ratio.
      2. Assets without a defined image will display a placeholder image.
  7. Create a Portfolio Page for Each Market.
    1. Navigate to the 'Pages' page and click the 'Add New' bonus.
    2. Choose the same template you use for the single property Spaces pages, then add the shortcode [spaces_portfolio market_id="MARKET_ID_HERE"]
    3. Each page can only show one market, so repeat this process for each market you need.
  8. Rebuild SPACES Caches.
    1. To update every property within your portfolio at once:
      1. Navigate to the 'SPACES → Global Settings' page.
      2. Click the 'Refresh Content' button on the right-hand side of the page.
      3. This process runs in the background, so allow it some time on large sites.
    2. To update a single property at a time:
      1. Navigate to the 'SPACES → Assets' page and find your property.
      2. Click the 'Edit' button.
      3. Click the 'Rebuild SPACES Data Cache' button on the right side of the page.
      4. Click the 'Import SightMap Content' button on the right side of the page.
    3. Navigate to the 'SPACES → SPACES Markets' page.
    4. Click the 'Rebuild' button on each affected market.
  9. Clear WordPress & Browser Caches.
    1. Click the 'Clear Caches' button found within the WordPress admin bar.
    2. Hard-refresh your browser when viewing the page (Ctrl+Shift+R on Windows, Cmd+Shift+R on Mac), or open it in a private/incognito window.
